What type of personal data do we collect?
As a business we process various types of data. The type of personal data we have about you depends on our connections with you. These connections can be as one of clients/tenants, potential tenants, suppliers, sub-contractors, contract security staff, employees or shoppers at Ryemarket Shopping Centre. This means we will have your names, contact details such as email and postal addresses, phone numbers and payment details as well as bank account numbers, sort codes, national insurance numbers and tax codes, CVs and references. We process these types of data to maintain the high level of service to our clients as well as meeting the HMRC requirements as a responsible employer. Ryemarket Shopping Centre also operates CCTV surveillance, with clear signage, to ensure security and safety of staff and customers alike. We only collect information that is necessary for us to provide a safe working environment for our security operatives and also a pleasant and secure shopping environment for the shoppers.

Why do we collect your information?

We collect personal data in order to communicate with clients/tenants about their retail units, to answer queries from prospective clients, to instruct our professional third party providers of security personnel and to both invoice/pay for the services we use and provide. We also collect information to process payments for our employees. Some of the information we collect is to fulfil our own legal obligations e.g. HMRC taxation requirements.
We also collect contact information and IP addresses for marketing purposes. With your explicit agreement we will send you information about our services and special offers that we believe may be of interest to you via email and social media platforms. We do not add your details to our marketing lists without your explicit permission.
How do we collect your information?
We do this through the traditional post, email, telephone, in person in-store, flyers, leaflets, social media platforms and our secure online form through our website. Our website uses cookies to collect information about you.

How do we share your information?

As a business we have a legal obligation to submit certain information to HMRC, this may involve processing your personal data such as sales invoices and employee data. Occasionally we will need to share CCTV footage with the Police. Depending on what service we are providing we may also share your information with third party providers such as online payment companies, payroll/pension/tax software providers and our website maintenance and hosting company. Our current UK based third party providers are SR Security Ltd, Ads Oxford Ltd and Unlimited Horizons Ltd.

Your data is held securely:
We ensure administrative, technical and organisational measures are in place to safeguard your data from unauthorised access, use, modification and disclosure of personal information in our custody and control. All information you provide to us is stored on our local secure servers with encryption and regular system backup or it is in our robust physical storage facilities. All our third party providers we engage are also subject to the same high standards too.

How long do we keep your data?

The time period for which we keep your data is determined by the type of data we hold. For example, sales and purchase invoices will be kept for 6 six years plus the current tax year, as this is a legal obligation of the business set by HMRC. Data on former clients/tenants will be kept for six years plus the current year post contract termination to satisfy HMRC rules and to address any potential dispute that may arise. Data from potential clients/tenants will be kept for 2 years from initial enquiry should we need to revisit and be required to fulfil an order. We also keep employee data for 6 years plus the current tax year post departure. After these time periods the data will be destroyed securely.
We keep the data we use for sending you marketing materials, for which you have given explicit consent e.g. name, email address until you withdraw consent or we do a periodic refresh of our databases every 2 years.
How can you see a copy of or amend the personal data we hold about you?
If you’ve previously consented to receiving our marketing materials but have now changed your mind and wish to withdraw consent you can do this at any time by simply clicking unsubscribe in the body of the message we have sent you or by contacting us at the contact details below. How do you complain if you are unsatisfied with any aspect of the way in which we process your data?

Our Data Officer, Kelley Dyas, has overall responsibility for the day-to-day implementation of this policy. We take complaints very seriously and we will respond to complaints as soon as possible and certainly within 30 days of your original request.
